Responsibilities include a combination of administrative tasks, execute purchase orders, field visits, and communicating/scheduling with vendors, subcontractors and customers.
To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.
Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to all team members.
Job Duties:
Placing and scheduling material orders with Vendors in a timely manner to achieve scheduling deadlines.
Update Builder software to ensure takeoffs are accurate and pricing is correct Bid out new plans and maintain pricing in the software Manage and track information flow in a timely and accurate manner Review Construction Online daily for messages from Customers and gather proper information to respond and rectify any issue or questions immediately.
Assist with Verifying Construction Online is always up to date Gather, compile, verify, analyze and prepare information for use in documents such as memos, letters, and reports.
Stocking of office supplies, general organization of common areas in the office Assist with warranty service by reviewing, analyzing and making determinations on claims by reviewing data from contractors, sales reps, field tech reps and personal site investigations.
Determine necessary repairs, communicating to all relevant parties and negotiating to resolve the claim.
In reaching resolution, the Specialist may be responsible for receiving repair quotes, identifying a repair contactor, ordering/shipping materials, reviewing work and processing contractor invoices.
Assist with Coordinating and Resolving necessary meetings with families regarding any concerns or delays.
Meet Customers and Management as needed, including after hours.
Assist with gathering Monthly Vehicle Inspection Sheet Skills/Experience Outstanding organizational and time management skills.
Operate with a high degree of discretion and confidentiality.
Excellent speaking and listening skills to share information effectively, while paying careful attention to concerns and questions from employees and team members.
Detail-oriented, ensuring the workplace is compliant with labor standards.
Interpersonal skills, ability for interacting with employees while conversing and connecting with people from various backgrounds and experiences.
Excellent MS Office knowledge, including Excel, Word, PowerPoint, Email, etc.
Familiarity with office gadgets and applications (e.
g.
e-calendars and copy machines).
Excellent verbal and written communications skills.
